Turn an Instagram conversation into a clear next step
Use Sayw CRM stages, owners and next actions to keep useful conversations from getting lost in the inbox.
A resource request isn't a purchase
Someone who comments for a worksheet has asked for a worksheet. Keep that request separate from a person who has described a project, asked for a quote or agreed to book. Treating every download as a qualified lead makes the board look busy without clarifying the work.
Sayw CRM supports stages from New through Qualifying, Qualified and Proposal to Won or Lost. Agree on the evidence your team needs for each move. A stage should describe what you know, not what you hope happens next.

Record only what helps the next conversation
For a photographer, the useful facts might be shoot type, location, deadline and whether the person wants a quote. Keep the note short enough for a colleague to read before replying. Don't copy an entire private conversation into a general-purpose field.
If AI has collected information, compare the summary with the actual messages before making a commitment. A proposed budget can be tentative; a date may describe an event rather than a confirmed booking. Preserve that uncertainty in the note.
Give the next action an owner
Select the responsible person and set a concrete next action in the lead record. “Follow up” is vague. “Answer the customer's location question” tells the owner what to do and refers to an existing request.
Check the conversation before sending: another teammate may already have replied. An internal CRM task does not override Instagram's messaging rules or justify repeated unsolicited reminders. If the person declines, record that outcome and stop the sales sequence.
Read the latest message
Confirm what the person asked and whether it has already been answered.
Assign the work
Name an owner and the specific answer or decision needed.
Update after evidence
Move the stage only when the agreed condition is actually met.
Review stalled conversations without inventing outcomes
Review the board at a regular interval and start with leads that have no owner or next action. If a project is no longer suitable, record the real reason rather than keeping it indefinitely in Proposal.
Won is a workflow label. Unless a verified payment record supports it, do not report it as collected revenue. Keep your booking or payment system as the source of truth for commercial outcomes.
