Prepare a price and FAQ file for your Instagram AI assistant
Give Sayw AI Manager clear prices, booking conditions and boundaries. Build a small knowledge file and test difficult questions before enabling replies.

Start with the offer people ask about
A customer asks how much a session costs. Your brochure lists one price, an old promotion lists another, and neither explains what is included. Uploading both leaves a conflict for the assistant to resolve. Sort out the offer before adding the files.
For the first version, we recommend one short document about one service. Include the current price, currency, what the customer receives, booking steps and the questions a person must answer. A larger catalog makes sense when you can keep every entry current. More pages alone do not make an answer more reliable.
Use information you are allowed to share with customers. Keep account credentials, private conversations and individual customer records out of a general FAQ. Sayw uses approved knowledge to support AI answers; you remain responsible for checking those answers.
Put the conditions beside the price
A price without its conditions is easy to misread. State whether it is fixed, a starting price or an estimate. Record what is included and who confirms extras. Use an effective date in your working document so the next person updating it can identify the current offer.
The worksheet below is a fictional portrait service, not a Sayw price or a recommended rate. Replace every detail with your approved offer before using it.
| Field | Example content |
|---|---|
| Offer | Portrait session: €90 for 45 minutes and five edited photos. |
| Booking | Send the booking-page link. A photographer confirms the appointment. |
| Extras | Additional photos require a quote from the photographer. Do not invent a price. |
| Availability | No live calendar is provided in this note. Ask a person to confirm dates. |
| Discounts and disputes | Do not approve a discount or resolve a disputed payment. Refer the question to the team. |
Leave time to review the uploaded file
Open AI Manager and add the document through the file control. The approval asks whether the file may be used in replies. Check the document before confirming: the current workflow pauses replies while the updated knowledge is prepared and tested.
Wait for preparation to finish. If the file cannot be read, the screen offers a retry or a way to continue without it. Continuing without the file excludes that source from replies; it does not establish that its contents were learned. Keep replies paused if essential prices or conditions are still missing.
Use the practice conversation to ask the questions below. Nothing from that practice conversation is sent to customers. Read the actual wording, including the implied promises, before approving activation.
Review a price answer before it reaches a customer
Use the same approved offer throughout the review.
Question
Ask about a price, exception or available date.
Facts
Compare the answer with your current document.
Check
Look for missing conditions and invented promises.
Person
Keep unresolved questions with the responsible team member.
An uploaded file and a successful practice answer do not prove live message delivery.
Ask for something the document cannot promise
Begin with “What does the session include?” Then ask “Can I have ten photos for the same price?” The second question reveals whether the assistant turns an unpriced extra into a promise.
Also test “Your old post says it costs less” and “Book me for Friday.” An acceptable answer should explain the approved information or ask the team to resolve the exception. It should not announce a booking, grant an unapproved discount or claim to have checked a calendar that was never connected.
If an answer is wrong, pause and correct the facts or instructions in the AI Manager conversation. Repeat the failed question and a normal price question. One good answer does not guarantee every future response; it gives you a specific result to inspect.
- Price, currency and included work match the approved offer.
- Missing facts lead to a question or human review.
- A quoted old offer does not silently change the current terms.
- The answer does not claim a booking or payment action that did not happen.
Make the next price change easy to check
Keep the working document with a named owner and a review date. When the offer changes, update the approved setup and any separate automation messages that quote it. Rerun the same practice questions, including the one that previously failed, before resuming replies.
After activation, inspect early conversations in Chats. If a customer receives a wrong price, take over and correct the explanation yourself. Pausing future replies cannot recall a message already sent. Keep that correction in mind when updating the knowledge for the next conversation.
